Compliance is Key for Nationwide Franchises

When managing multiple locations across multiple states, it can be challenging to track certifications and licenses. Aaniie includes a complete admin dashboard that keeps you informed in real time.

“It keeps us compliant with every aspect of our business,” says Lawson. “For instance, it allows us to see when a caregiver’s driver’s license will expire, so we know not to put them on a job that requires driving. It’s the same with seeing when CPR or CNA will expire — I can just look at the dashboard. Because we operate in 12 states that don’t require a license, we don’t need to do any additional work to monitor our compliance. I keep the dashboard open on my screen all day, allowing me to see immediately if a shift is missed so I can get in front of the issue.”

Compliance also requires clear communication from the caregiver to the family and vice versa.

“We assign mandatory tasks that will not allow a caregiver to clock out until the task is complete or the caregiver has marked it as ‘Refused,’” explains Lawson. “So if the client doesn’t want a bath, and the family says it’s required, the caregiver can choose ‘Refused’ on the Aaniie app. It also provides documentation to relay to the family that their family member refused their bath. Then we can approach it as, ‘How do you want to move forward?’ It lets us get ahead of the issue.”

Running Reports at Franchise & Independent Levels

Aaniie’s real-time KPIs and comprehensive reports are the secret sauce you need to understand your agency’s performance and make adjustments to achieve your goals.

“I’m the only admin in the whole company,” explains Lawson. “So on the first and the 15th of each month, I run reports on overall revenue through Aaniie. I also run a report on the total number of clients and shifts and then send that information to the CEO. He looks at the numbers to see that the business is growing every month. And that functionality has replaced two or three people crunching numbers.”

Running reports with Aaniie is just as easy and important at an individual, independent franchise level.

Lawson continues, “I can look at a specific franchise and see that Aaniie’s numbers indicate they did $45,000. Previously, we had people manually gathering this information and giving it to me and the rest of the executive staff. Aaniie does it for us now. We trust those numbers 100% to indicate our company’s health each month.”

Reduced Time Running Billing & Payroll

Aaniie makes managing and automating payroll processes easy.

“Everything pulls from the schedule,” says Lawson. “At the end of every day, I look at the schedule to ensure everything is navy blue. If that’s true, I know my billing and payroll will be correct. Checking my dashboard daily is a critical 30-second process.”

With just a few clicks from the dashboard, you can run payroll reports, approve pay, and send them to the payroll provider of your choice.

“With Aaniie, you don’t need to hire an additional person to do payroll because everything flows from the schedule,” Lawson says. “One click, and you’ve sent everything over to payroll.”

Lawson continues, “Aaniie does your invoicing at no charge, which is huge. I can bill nine clients in under five minutes, including hitting their credit card, generating a receipt, and emailing it. So, the billing for my daughter’s franchise is done every week in five minutes. That’s astounding.”

“As an admin and a franchisee, I can look at the dashboard from two different views,” Lawson explains.

“There’s one view when I’m in my franchise mode. I keep that open to watch the shifts happening during the day. At the end of the last shift, I want to see that everything is navy blue, which means everything is great. If it’s green, red, black, or yellow, something happened on that shift, and I need to address it.

The other dashboard is when I have my admin hat on for Acti-Kare corporate, and that’s when I run our numbers. I look at those numbers all the time.”
